Post #3 - Documenting a Day

 

In this post I reviewed the differences between three Microsoft office applications.  These are my findings and opinions about Microsoft Powerpoint, Microsoft Word, and Microsoft Excel.


Switching between Microsoft Word, Microsoft Powerpoint, and Microsoft Excel the way you interact with the applications is very noticeable.  I found that word was the easiest to use simply because there was not a lot of changes that need to be done in order to get a standard document to do what you want it to do.  I found that excel on the surface was easy to use but once you get into he different functions it performs it can be very complicated.  Powerpoint was very easy to use.  Most of the slides and options give you ideas on how to format and layout the power points that you create.

 

I think between word and excel there are a lot of similarities.  Both programs focus on information input such as words and numbers.  The big difference comes with the formulas that you can create in excel.  I found that the ability to do calculations and different tables was much easier in excel than in word.  And the ability to utilize formulas was very important to interact with large amounts of data and reduce the amount of work I had to do manually to sort through information.  Word also has the ability to create tables but I find it is not as clean or easy to utilize and if you didn’t already have the data there was a lot of manual work involved.  I found though that when it came to entering text excel can be a pain since the cells all have to be adjusted accordingly and when you change cells the formatting does not automatically change over.  Word really excelled in making it easy to create long text and get it to look the way you want it.  Powerpoint to me had the least amount of impressive features.  Powerpoint did not really excel in doing calculations or creating long strings of text.  It was easy to create a visually appealing presentation compared to word or excel.  I think this ability to easily create a visually pleasing presentation of the information that you can put together in word or excel is the power behind powerpoint.

 

Microsoft word was really the best application for documenting the information about my day.  It made it easy to let the ideas I wanted to represent flow and then once I had them written out it was easy to re-read and make adjustments where needed.  In excel it was easy to apply the data and calculations but it did not provide a full picture of what had happened.  In powerpoint the slides made the information look better but if I wanted to be able to find a specific piece of information or just see everything quickly it was not as effective.

 

A scenario where Microsoft Word would be most useful would be in building a resume document.  The information can be created in a format that makes it easy to read and you can see what the reader will see all on a single page without having to look for information.  For excel a scenario where it would be most useful is in creating an asset list of items.  You can use excel to help categorize each of the items and keep track without manually having to go through and count everything out.  Once you have all the information you can create tables and graphs to represent the data that you have collected.  Microsoft Powerpoint would be most useful if you were creating a presentation for a new client.  You can make sure to highlight just the information that is important and not force the viewer so sift through data or documentation that may not be relevant or important to the current discussion.
